POSITION SUMMARY

Performs a variety of administrative and technical functions in support of department staff, including: composing correspondence; preparing various notices; coordinating projects; processing purchase orders; answering the telephone, assisting customers or directing requests to appropriate staff; entering information into computer system; and functions associated with housekeeping and food preparation, including delivery.

MINIMUM QUALIFICATIONS REQUIRED:

Education and Experience:

· High School diploma or GED; and,

· One to two years of related experience; or,

· Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Licenses and Certifications:

· Valid Colorado driver's license (depending on assignment)

· Notary Public (Preferred)

ESSENTIAL JOB FUNCTIONS: (All responsibilities may not be performed by all incumbents.)

Processes basic accounting functions, including: maintaining accounting ledger; reconciling and balancing accounts; making deposits; coding, recording and submitting bills; submitting reports; generating purchase orders; verifying receipts and signatures; and copying, sorting, and filing.

Processes basic administrative functions, including: answering phone, providing information, directing calls and messages, and assisting/directing caller with answers to questions; maintains and updates database information, manuals, and various filing systems; sets up and maintains record retention schedules; and enters information into computer system for administrative and maintenance related items.

Provides basic housekeeping functions, including: providing assistance to tenants; collecting trash inside and outside the building; disposing of trash and recyclables; cleaning and sanitizing public restrooms; dusting all surfaces and vacuums all common areas; strips and waxes floors; and applying chemicals and insecticides.

Assists in preparing and distributing food, including: setting up and cleaning kitchen before and after meals; assuring food is prepared within health guidelines; preparing food for special occasions; serving food; delivering food to home-bound clients; and assuring dining facilities are set up correctly.

Interviews, screens, and greets visitors and directs them to the appropriate area or individual; may answer various inquiries personally; provides information on departmental services and functions.

Carries out duties in accordance with policies, procedures, and applicable laws. Assists with functions associated with facility occupancy, including: meeting with residents or prospective residents to complete confidential forms and documents; verifying personal information (income, assets, expenses, etc.); obtaining required signatures; inspecting vacant apartments prior to and following occupancy; submitting required forms/documents to state and federal agencies; maintaining tenant records; requesting payments from agencies; and calculating deposits and rent.

Assists technical services staff in maintaining web page information; programs telephone systems; assists in training staff on computer and telecommunications systems; serves as contact for identifying and resolving system problems.

Assists in coordinating events and programs, including: organizing meeting sites; organizing and maintaining materials and supplies; obtaining contracts and agreements with vendors, contest judges, etc.; recruiting volunteers; confirming speakers; distributing informational materials, invitations, confirmations, etc., to various agencies and organizations; and compiling contest results for payment of premiums and publication of results.

Enters information into a computer terminal; uses the computer system to retrieve a variety of daily, monthly, and yearly reports; maintains routine financial records.

Revises applications and forms; types and edits documents.

Maintains and updates tenant information.

Processes permits; receives and receipts money.

May deal with sensitive and confidential tenant matters at the direction of the Housing Authority Director.

Inventories supplies and equipment.

Prepares reports as requested utilizing a variety of software; receives, sorts, and summarizes material for the preparation of reports.

Reports administrative and/or operational problems to Housing Authority Director.

Retrieves, opens, stamps, sorts, and distributes incoming, interoffice, and outgoing mail; receives and distributes faxes and email; and checks and maintains voice mail.

IMPORTANT JOB FUNCTIONS:

· May serve as backup for other positions within the department.

· Performs other related duties as assigned.
