EXTENSION STAFF ASSISTANT

WORK SCHEDULE: Up to 28 hours/week.
POSITION SUMMARY
Performs a variety of moderately difficult clerical functions in support of the Extension staff, including: composing correspondence; answering the telephone, assisting customers or directing requests to the appropriate staff; entering information into computer system; facilitating events by working with multiple entities and agencies; and performing related functions in support of department operations.
MINIMUM QUALIFICATIONS REQUIRED:
Education and Experience:
- High School diploma or GED; and,
- Two to three years of related experience; or,
- Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
Licenses and Certifications:
Valid Colorado Driver’s License
ESSENTIAL JOB FUNCTIONS: (All responsibilities may not be performed by all incumbents.)
- Answers the telephone, takes messages, provides information to callers, receives citizen complaints, and directs calls and messages to appropriate person; provides procedures and rules to callers with questions regarding same in a friendly and courteous manner.
- Greets visitors and directs them to the appropriate area or individual; may answer inquiries personally; and provides information on departmental/fair services and functions.
- May assist in coordinating events and programs for Extension and the Moffat County Fair, including: recruiting and training volunteers, judges, and superintendents; ordering awards; obtaining contracts and various forms from judges, superintendents, and vendors; plans, set up, and decorates required facilities; assists with programs as needed; and works with supervisor to ensure vendors and judges are compensated.
- Processes basic finance functions, including: maintaining finance ledger; reconciling and balancing accounts; making deposits; and submitting reports.
- Maintains and update database information, manuals, and various filing systems.
- Enters information into computer; uses the computer to retrieve a variety of daily, monthly, and yearly reports; and updates information and forms as needed.
- Receives and receipts money.
- Maintains and replenishes supplies for copier.
- Maintains and updates leasing and scheduling of equipment and meeting rooms.
- Greets visitors and directs them to the appropriate area or individual; may answer inquiries personally; and provides information on departmental services and functions.
